Project Overview

PrepChip is an end-to-end SaaS platform built for commercial kitchens and meal prep businesses to manage operations efficiently. It offers role-based access for admins, chefs, and staff to handle subscriptions, meal plans, orders, inventory, and customer management. Admins also have control over staff roles, attendance, and permissions. PrepChip brings everything into one system to streamline workflows and support business growth.

Problem Discovery

No More Spreadsheets, Missed Orders, or Messy Workflows

Many meal prep businesses rely on manual processes and fragmented tools, leading to operational inefficiencies. Without role-based access, staff face constant confusion, while unsynchronized inventory and meal planning cause food waste and stock shortages. Additionally, unclear subscription and order tracking risk delivery errors, making it difficult for administrators to monitor staff performance, attendance, and system permissions effectively.

Strategic UX Solution

One Platform. Every Operation. Fully Synced

The platform centralizes all meal prep operations by connecting subscriptions, orders, inventory, and staff management in one place. With role-based access, real-time order tracking, and inventory synchronized with meal plans, it reduces waste, streamlines staff workflows, and guarantees accurate order fulfillment.

The Process

Cooking Up the Design

Our design process followed a user-centered approach, starting with research and competitor analysis, moving through user flows and wireframes, and ending with a clean, scalable interface. Each step was crafted to ensure PrepChip solves real operational challenges while remaining simple and intuitive for every role.

Competitor Analysis

To position PrepChip effectively, I analyzed leading meal-prep platforms Sprwt, MealPrepTech, GoPrep, and NutriBot CRM. The study highlighted their strengths and weaknesses in UX, customization, and operations management, helping shape PrepChip as a simpler, role-focused, and end-to-end solution.

User Flow

The user flow illustrates how different roles (admins, chefs, and staff) navigate through PrepChip to complete key tasks. From managing subscriptions and meal plans to tracking orders and inventory, each path was designed to be intuitive, efficient, and tailored to the user’s responsibilities.

The Result

Bringing PrepChip to Life

The final interface brings together clarity, scalability, and role-based simplicity. With a clean dashboard, streamlined workflows, and intuitive navigation, the designs reflect PrepChip’s goal: making complex meal prep operations simple and manageable in one platform.

Key Takeaways

PrepChip was the first time I built a complete design system with reusable components, and not just a set of screens. The platform serves three roles (admins, chefs, and staff), so each component had to work across different permissions and tasks without turning into separate designs for each role.

Building the system first made every new screen faster and more consistent, and it taught me to think in patterns and variants before drawing pages.
